Guide

Choosing a WMS when mid-market has run out

You already know a spreadsheet WMS will not survive peak. You also know a two-year enterprise programme may miss the peak you are buying for. This guide is for that gap.

Updated 12 August 2026

Who this is for

Operations directors, IT leads and finance in 3PL or distribution who are writing an RFP, replacing a lightweight WMS, or being told the only grown-up options are Manhattan, Blue Yonder or SAP EWM. If you run a two-aisle stockroom, stop here — you need less system, not more.

The false choice

Vendors will offer a cloud tenant you can “be on in weeks” or a suite that will be “the last WMS you ever buy” after a programme that outlasts the sponsor. The first dies when you add ASNs, a yard, a second client or a real EDI partner. The second is a PMO. Many UK and European DCs need inbound depth, dock, waves, RF and an integration layer they can operate — without a two-year wait.

Ten capabilities to insist on

If a product cannot show these in a warehouse, not a slide, it is not a replacement for the system you have outgrown.

  1. Inbound documents: POs, ASNs, discrepancies, QC, unexpected stock — not only a receive screen
  2. Dock and yard in the same product as receipts and shipments
  3. Waves, pick jobs, pack stations and carrier manifests as one pipeline
  4. RF that works offline and on the devices you already buy
  5. Printing that does not depend on a browser at the belt
  6. 3PL: stock owners, portal, billing — if you are a 3PL, this is not optional
  7. Integrations you can see fail: API, SFTP, AS2, an outbox — not a silent folder
  8. Rules and settings so the next client or season is not a code change
  9. Labour and slotting that become work, not a consulting PDF
  10. A deployment model you can explain to IT: where it runs, who signs in, how you promote to live

Questions for every vendor (including Pathfinder)

Ask for the environment, not the demo script. Where do operators sign in? Is the yard a module you buy later? When a file is late on SFTP, who sees it? How does a no-show appointment appear on the door? Does a late trailer change a wave — and if not, say so. How are RF devices and portal seats licensed? What is configuration versus a professional-services fork?

How Pathfinder answers that list

Pathfinder is a dedicated-instance WMS for 3PL and distribution: inbound, dock, inventory, outbound, RF, print and an integration platform in one product. Intelligence means rules and a work orchestration spine, not a chatbot. Customer systems are not on this website. If the ten capabilities above are your list, request a demonstration on an environment we issue — and hold us to the same questions.

Shown on a dedicated environment

Tell us about the warehouse. We arrange a demonstration on a Pathfinder instance — not a public login from this website.
